Microsoft's cloud offering allows for IT cost savings and more flexible work.
However, savings are only possible if the data users work with is actually suitable for the cloud. Unsuitable data in the cloud leads to more expensive Office packages and negates the potential savings.
Simply moving all data to the cloud can cause data synchronization to consume available internal bandwidth, making work more difficult for everyone.
The databee service, developed by Schindler IT-Solutions GmbH, enables the automatic analysis of data intended for the cloud. This migrates only the data that is suitable for the cloud and provides information on which license is appropriate for each user.
The health authority had to migrate its data to the cloud and had a data volume of more than 15 terabytes. The costs for this amount of data were very high. The correct licenses also had to be found for the 5,000 users.
databee was tasked with analyzing the potential savings from a Microsoft Office 365 migration. 15 TB of data were processed, and Databee delivered the following results:
- Only 4 TB were suitable for the cloud.
- 15% of the data was duplicated.
- 600 users identified were no longer active and therefore did not require a license.
- 70% of users could manage with the most cost-effective cloud license after their data was cleaned.
The goal was to determine the optimal conditions for cloud migration while minimizing costs without impacting the work of individual employees.
databee provides all the necessary information in a dashboard, requiring no effort from employees.
Overall, 75% of the license costs were saved. The analysis was completed within one week of accessing the data.
